6. Fees, Pricing & Payment Terms

6.1 Fee Confirmation & Instructions

6.1.1 All services are provided subject to written instruction and fee confirmation.
6.1.2 No work will commence until the client has confirmed acceptance of applicable fees, scope, and service level.
6.1.3 Any variation to scope, escalation, or additional work requires prior written approval from the client.

6.2 Service Levels & Pricing

6.2.1 Hicxfield Services offers tiered tracing services:

  • Digital Trace – fixed-fee desktop intelligence assessment

  • Verified Trace – outcome-based digital + field verification (No Trace – No Fee)

6.2.2 Pricing, inclusions, and limitations are confirmed in writing prior to commencement.

6.3 No Trace – No Fee

6.3.1 Verified Trace services are offered on a no trace – no fee basis.

6.3.2 A successful trace is defined as identification and verification of a current residential address suitable for lawful contact or service, achieved through reasonable investigative effort.

6.3.3 Where such verification cannot be achieved:

  • No professional tracing fee will be charged for outcome-based services, or

  • Fees may be reduced in accordance with the agreed service level

6.3.4 The no trace – no fee model does not apply to:

  • Fixed-fee Digital Trace services

  • Pre-approved escalation or additional field attendance

  • Third-party costs, database fees, or disbursements

  • Mileage, parking, or travel costs

All applicable fees and exclusions are confirmed in writing prior to instruction.

6.4 Invoicing & Payment

6.4.1 Invoices are issued:

  • Upon completion of a successful instruction; or

  • As otherwise agreed in writing

6.4.2 Unless credit terms have been agreed in advance, all invoices are payable immediately.

6.4.3 Payment details are provided on each invoice. All payments must reference the relevant invoice number.

6.4.4 Hicxfield Services reserves the right to withhold reports, certificates, or further work until payment is received, unless agreed credit terms apply.

6.5 Credit Terms

6.5.1 Credit is offered at Hicxfield Services’ discretion, generally to solicitors, enforcement professionals, and established trade clients.

6.5.2 Where credit is granted:

  • Standard terms: Net 7 or Net 14 unless otherwise agreed

  • Credit limits may apply

  • Credit may be withdrawn without notice in the event of late payment

6.5.3 Private clients are not ordinarily granted credit and may be required to pay prior to service or report release.

6.6 Additional Costs & Disbursements

6.6.1 Additional costs may include:

  • Mileage: £0.55 per mile beyond a 20-mile radius of Bristol

  • Parking: charged at cost

  • Third-party or specialist access fees

6.6.2 Such costs are only chargeable where pre-approved or clearly stated in the instruction.

6.7 Suspension of Services

Hicxfield Services reserves the right to suspend or decline further instructions where:

  • Invoices remain unpaid beyond agreed terms, or

  • Credit limits are exceeded

7. Limitation of Liability

To the extent permitted by law:

  • We do not guarantee the accuracy or completeness of any website content

  • We are not liable for any loss arising from your reliance on website information

  • We are not liable for indirect or consequential loss

  • We are not liable for delays or failure caused by external factors

Nothing excludes liability for:

  • Fraud or fraudulent misrepresentation

  • Death or personal injury caused by negligence

  • Any other liability which cannot legally be excluded
